DeedWatcher LLC / T Rose Holdings LLC ("Company," "we," "us," or "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, and your rights regarding your information.
1. Information We Collect
Information you provide directly:
- Account registration: name, email address, password
- Phone number (for mobile OTP verification)
- Property addresses you add to monitor
- Payment information (processed by Stripe — we do not store card numbers)
- Documents you upload to the Document Vault
Information collected automatically:
- Device type, operating system, and app version
- IP address and approximate location
- Usage data: features accessed, screens viewed, timestamps
- Push notification delivery status
- Crash logs and performance data
Information from third parties:
- County recorder filings and property records from official government sources and licensed data aggregators. Currently covers NYC (all 5 boroughs) via NYC ACRIS open data. Additional counties expanding monthly.
- Real estate listing data from publicly accessible listing platforms, retrieved via automated monitoring of publicly available listings
- Dark web and data breach monitoring results — we query historical breach databases (which compile leaked credential data) using your email address. Results may reflect older incidents and require independent verification. We do not query or store Social Security Numbers or financial account numbers. You may opt out of dark web scanning at any time by emailing support@deedwatcher.com with the subject line "Opt Out of Dark Web Scanning." Opting out disables this feature for your account without affecting other services.
- Crash logs and performance diagnostics collected automatically by our hosting infrastructure
2. How We Use Your Information
- To provide, operate, and improve the Service
- To send push notifications and email alerts about property activity
- To process payments and manage subscriptions
- To generate AI risk scores and triage summaries for your alerts
- To verify your identity and prevent fraud
- To send transactional emails (account confirmation, password reset, billing receipts)
- To send the optional weekly AI monitoring newsletter (unsubscribe anytime)
- To comply with applicable laws and regulations
- To investigate and prevent unauthorized use or abuse of the Service
3. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following circumstances:
- Service providers: We use trusted third parties to operate the Service, including Stripe (payment processing), SendGrid (email delivery), Twilio (SMS/OTP verification), Railway (cloud hosting), Groq (AI model inference for risk scoring, triage, and chat assistant), and Google Generative AI (supplemental AI inference). We also use Playwright, an open-source browser automation library, for automated monitoring of publicly accessible real estate listing pages. These providers are contractually bound to use your data only as necessary to provide services to us.
- Legal compliance: We may disclose information when required by law, court order, or government request, or when necessary to protect the safety, rights, or property of DeedWatcher, our users, or the public.
- Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email of any such change.
4. Data Retention
We retain your data as follows:
- Account information (name, email, phone): Retained while your account is active. Deleted within 90 days of account deletion.
- Property addresses and alert history: Retained while your account is active. Deleted within 90 days of account deletion.
- Document Vault files: Deleted immediately upon account deletion or manual removal.
- Payment records: Retained for 7 years as required by financial regulations. Card details are stored solely by Stripe and never on our servers.
- Usage logs and crash data: Retained for up to 12 months, then automatically purged.
- Fraud prevention records (e.g., phone numbers used to prevent trial abuse): Retained for up to 2 years.
After account deletion, all remaining personal data is permanently deleted within 90 days.
4a. Account Deletion
You may request deletion of your account and all associated data at any time by emailing support@deedwatcher.com with the subject line "Delete My Account." We will confirm deletion within 5 business days. An in-app account deletion option is also available in account settings. After deletion, we retain only the minimum data required by law as described above.
5. Security
We use industry-standard security measures including 256-bit encryption in transit (TLS), encrypted storage, and access controls. However, no system is completely secure. You are responsible for maintaining the security of your account credentials.
6. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate data.
- Deletion: Request deletion of your account and associated data.
- Portability: Request your data in a portable format.
- Opt-out: Unsubscribe from marketing emails at any time via the unsubscribe link in any email. Opt out of SMS messages at any time by replying STOP or emailing support@deedwatcher.com.
To exercise any of these rights, email support@deedwatcher.com. We will respond within 30 days.
7. Children's Privacy
The Service is not directed to children under the age of 18. We do not knowingly collect personal information from minors. If we learn that we have collected data from a minor, we will delete it promptly.
8. Third-Party Links
The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies.
9. California Privacy Rights (CCPA)
California residents have the following rights under the California Consumer Privacy Act (CCPA):
- Right to Know: You may request a list of personal information we have collected about you in the past 12 months, including the categories, sources, business purposes, and third parties with whom it was shared.
- Right to Delete: You may request deletion of your personal information, subject to certain exceptions.
- Right to Opt-Out of Sale: We do not sell personal information. We share data only with service providers (Stripe, SendGrid, Twilio, Railway, Groq) under contracts that restrict their use of your data.
- Right to Non-Discrimination: We will not discriminate against you for exercising your CCPA rights.
To exercise any California privacy right, email support@deedwatcher.com. We will respond within 45 days as required by law.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or in-app notice at least 14 days before changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
11. SMS Communications
With your consent, DeedWatcher may send you SMS text messages for the following purposes:
- Account alerts: Notifications when a new deed filing is detected on your monitored property.
- Service updates: Trial reminders, subscription updates, and important account information.
- Marketing messages: Promotional content and educational information about deed fraud protection (only if you affirmatively opted in).
Opt-in: SMS consent is obtained via a checkbox on our sign-up form or lead capture page. You will not receive marketing SMS messages unless you affirmatively check the consent box. Consent to receive SMS messages is not a condition of purchasing any product or service.
Data sharing: Mobile opt-in consent and phone numbers collected for SMS communications will not be shared with any third party or affiliate for their own marketing purposes.
Opt-out: You may opt out of SMS communications at any time by replying STOP to any message. After opting out, you will receive one final confirmation and no further messages. You may also email support@deedwatcher.com to opt out.

Message frequency: Alert messages are sent as deed activity occurs. Marketing messages vary; for the educational funnel campaign, you will receive no more than 7 messages total. For account holders, marketing messages are sent infrequently (typically no more than 4 per month).
Costs: Message and data rates may apply depending on your mobile carrier plan.
Carriers: SMS service is provided via Twilio. Carrier availability may vary. We are not responsible for delayed or undelivered messages due to carrier issues.
